At The Clinic Training Academy, we are committed to providing high-quality education and hands-on learning experiences for all our students. To ensure fairness, efficiency, and the smooth operation of our courses, we have established the following Cancellation, Refund, Attendance, and Sickness Policy.
By booking a course with The Clinic Training Academy, students acknowledge and accept the terms outlined below.
1. Deposits & Payments
- A non-refundable deposit is required at the time of booking to secure your place on the course.
- Full payment must be received no later than two weeks before your practical training begins.
- Your practical training dates must take place within eight (8) weeks of your course booking.
2. Cancellations & Refunds
- Once theory materials and training manuals have been issued, no refund of the deposit will be given under any circumstances.
- This policy covers administrative preparation, resource allocation, and early access to course content.
- Failure to attend, late cancellations, or non-attendance will result in no refund or reschedule.
- Refunds or reschedules will not be granted for reasons such as work commitments, transport issues, or failure to plan ahead.
3. Attendance Requirements
- Attendance is mandatory for successful course completion.
- Students are expected to attend all scheduled sessions on time and fully prepared.
- Failure to attend without prior notice will result in the forfeiture of all course fees.
- If a student arrives late and misses a significant portion of training, they may be denied entry and classed as a no-show, forfeiting their place and payment.
4. Sickness & Illness Policy
The Clinic Training Academy understands that illness can be unavoidable. To maintain fairness and safety for all students and staff, the following rules apply:
a. Notification Requirements
- Students must inform the academy at least 24 hours before the course start time if they are unable to attend due to illness.
- Notification should be made via email, phone, or another official communication channel.
b. Medical Documentation & Rescheduling
- A valid doctor’s note or medical evidence must be provided within 48 hours of the missed session.
- With valid proof, a one-time reschedule may be offered, subject to availability and at the academy’s discretion.
- Rescheduling is not guaranteed and depends on course capacity.
c. No Notification or Proof Provided
- Failure to notify the academy or provide valid documentation will result in the loss of your place with no refund or reschedule.
d. Contagious Illnesses & Safety
- Students with a contagious illness (e.g., flu, COVID-19, or similar) must not attend for the safety of others.
- If a student arrives visibly unwell, they may be asked to leave, and the sickness policy will apply.
5. Exceptional Circumstances
- In cases of serious emergencies or unavoidable events (e.g., medical emergencies, bereavement, accidents), the academy may consider a reschedule or partial refund upon receiving official documentation (e.g., doctor’s note, police report).
- Each case will be assessed individually, and rescheduling will depend on course availability.
6. Rebooking Policy
- Students wishing to rebook a missed course must pay the full course fee again.
- In some cases, the academy may offer a discounted rebooking fee at its discretion.
7. Agreement
By enrolling in a course at The Clinic Training Academy, students confirm that they have read, understood, and agreed to all terms outlined in this Cancellation, Refund & Attendance Policy.
